Introduction Clear Chiropractic (“we”, “our”, “us”) is committed to protecting the privacy of our practice members, website visitors and all other individuals whose personal information we handle. We comply with the Privacy Act 1988 (Cth), including the Australian Privacy Principles (APPs), the Notifiable Data Breaches scheme, relevant Queensland health‑records legislation, and the 2024‑25 reforms to Australia’s privacy laws. By using our services or interacting with us you agree to the practices described in this Policy.
What Information We Collect
2.1 Personal Information • Full name, date of birth and gender • Contact details (postal address, e‑mail, telephone) • Medicare and private‑health‑fund details • Appointment history and billing records • Emergency‑contact information
2.2 Sensitive (Health) Information • Presenting complaint, medical and family history • Imaging reports (e.g. X‑ray, MRI) and any other diagnostic data • Treatment notes, exercise programmes and outcome measures • Lifestyle and occupational information relevant to care
2.3 Device & Usage Information • IP address, browser type/version, operating system • Pages visited, time on page, referring source • Cookie and pixel data (see section 11)
How We Collect Information We collect information: • Directly from you (online forms, telephone, e‑mail, in‑practice paperwork, telehealth consultations) • Automatically when you use our website or social‑media pages via cookies and similar technologies • From third parties such as diagnostic imaging providers, other health practitioners, insurers or your authorised representative, with your consent or as otherwise permitted by law
Why We Collect & Use Information We use the information we hold in order to: • Deliver safe and effective chiropractic and related health services • Verify your identity and manage bookings, recalls and payments • Communicate with you (appointment reminders, educational material, newsletters and – with your opt‑in consent – promotional offers) • Maintain accurate clinical records in accordance with AHPRA/Chiropractic Board requirements • Conduct quality assurance, staff training and practice improvement • Meet our legal and regulatory obligations, including public‑health reporting and privacy‑law compliance • De‑identify and aggregate data for reporting, research or analytics
Disclosure of Information We may disclose your information to: • Other health‑care providers involved in your care (e.g. GP, radiologist) • Third‑party service partners who support our practice management, IT, payment processing, marketing or data‑storage systems (e.g. PracSuite, secure cloud hosting) • Overseas contractors such as virtual assistants located in the Philippines. Where we transfer data offshore we take reasonable steps to ensure the recipient complies with Australian privacy standards (APP 8). • Government regulators, courts or enforcement bodies where required or authorised by law • Any other party with your explicit consent
Overseas Disclosure Some of our administrative and IT suppliers are based overseas. Before personal information is disclosed outside Australia we contractually require the provider to protect it to a standard that is at least equivalent to the APPs, or we seek your informed consent.
Data Security We employ physical, electronic and administrative safeguards including encryption, role‑based access controls, secure off‑site backups, staff training and confidentiality agreements. Despite these measures, no transmission or storage system is guaranteed to be completely secure. If an eligible data breach occurs we will notify affected individuals and the Office of the Australian Information Commissioner as required under the Notifiable Data Breaches scheme.
Data Retention Clinical records are retained for at least seven (7) years from the date of your last appointment, or, for children, until they reach 25 years of age, in accordance with legal and professional requirements. When we are no longer required to retain information we securely destroy or de‑identify it.
Your Rights Subject to limited exceptions, you may: • Request access to the personal information we hold about you • Ask us to correct inaccurate or incomplete information • Withdraw consent for direct marketing communications at any time • Request deletion of personal information where permitted by law • Make a privacy complaint (see section 10)

We will acknowledge your enquiry within two (2) business days and aim to provide a written response within 30 days. If you are not satisfied you may contact the Office of the Australian Information Commissioner (oaic.gov.au) on 1300 363 992.
